The ground rules for using Omni ITW: what districts and their staff agree to, what we provide, and what happens to a district’s data when it stops using the service.

About these terms

These terms cover the use of Omni ITW (“we”) by school districts and by the district staff they give accounts to. By using Omni ITW, you agree to them.

If your district has a contract or data processing agreement with us, that agreement governs. Where it differs from these terms, the agreement takes precedence.

How we handle information is described in our Privacy Policy.

The service

Omni ITW lets a district’s instructional-technology coaches record classroom walkthroughs on a form the district controls, scored on a 1–4 scale, and turns them into coaching follow-ups, dashboards and reports. We may improve or change features over time. The AI assistant is optional and can be switched off for a district. The SchoolAudit connection is used only if the district turns it on.

Accounts and sign-in

Accounts are for district staff. They are created by the district’s supervisors, or by us at the district’s request, and each account belongs to one person.

Sign-in uses one-time codes sent to your work email. Keep your email account secure, don’t share sign-in codes, and tell your district supervisor straight away if you think someone else has used your account.

Acceptable use

When you use Omni ITW, you agree to:

  • use it only for your district’s instructional-technology observation, coaching and reporting work;
  • keep your account to yourself and not share sign-in codes;
  • not enter student names or other personal information about students anywhere in Omni ITW, including free-text notes, support requests and questions to the AI assistant;
  • keep observation notes professional and based on what you saw in the classroom;
  • not try to reach another district’s data, or data your role doesn’t give you access to;
  • not probe, scan, overload or interfere with the service, or try to get around its security; and
  • not upload anything unlawful or harmful, such as malware, in screenshots or other attachments.

We may suspend an account that breaks these rules or puts the service or other districts at risk, and we’ll let the district know.

District responsibilities

The district that uses Omni ITW is responsible for:

  • An accurate roster. Keep teachers, schools and staff accounts up to date, and deactivate accounts for people who leave or no longer need access.
  • No student personal information. Make sure staff know not to put student information in notes, and don’t add form questions that ask for it.
  • The right to share. Only give us information the district is permitted to provide, and tell staff about Omni ITW as the district’s own policies and agreements require.
  • How results are used. Decide how walkthrough data is used within the district, consistent with its own policies and agreements.
  • Optional features. Decide whether to use the AI assistant and the SchoolAudit connection.

Your district's data

The district owns the information its staff put into Omni ITW. We use it only to provide the service, as described in the Privacy Policy. The district can export its walkthroughs as a CSV file at any time.

The AI assistant

If the AI assistant is on for your district, its answers and reports are generated by AI from the district’s data. They can be wrong or incomplete, so check them before you rely on or share them. The assistant can draft emails but never sends them: you review each draft and press Send yourself, and recipients are limited to district addresses. You’re responsible for what you send.

Availability

We work to keep Omni ITW available and working well, but we can’t promise it will always be available, uninterrupted or free of errors. We may take it offline for maintenance or to fix problems. Unless your district’s contract says otherwise, there is no guaranteed uptime.

To the extent the law allows, Omni ITW is provided “as is” and “as available”, without warranties beyond those in your district’s contract.

Ending use and data return

A district can stop using Omni ITW as its contract allows. District supervisors can deactivate their own users at any time, and we can suspend access as described under Acceptable use.

When a district’s contract ends, access for its users ends too. On the district’s request, we delete the district’s data or return it to the district. We recommend exporting walkthroughs to CSV before the end date.

Changes to these terms

We may update these terms as Omni ITW changes. We’ll change the date at the top when we do, and tell district supervisors before a significant change takes effect. Continuing to use Omni ITW after a change takes effect means accepting the updated terms. A district contract still takes precedence.
